From Residents:

• Name and unit number
• Email address
• Maintenance issue descriptions and photos you submit
• Request status and communication history

From Building Staff:

• Maintenance notes and repair records
• Certificate of Insurance (COI) documents submitted for review
• Building inspection reports and photos

Automatically:

• Basic usage data (pages visited, features used)
• Device type and browser (for app functionality)
• We do not use tracking cookies or advertising pixels

3. How We Use Your Information

We use the information we collect to:

• Process and manage maintenance requests
• Generate AI-assisted diagnoses and repair recommendations
• Verify contractor insurance documents (COI review)
• Communicate with residents about their requests
• Improve the AllDayFlo platform
• Comply with applicable laws and regulations

We do not sell your personal information to third parties. Ever.

4. AI-Generated Content

AllDayFlo uses artificial intelligence to assist with maintenance diagnoses, COI document review, and building operations. Please note:

• AI-generated suggestions are for assistance only and do not constitute professional advice
• Final decisions on repairs, vendor selection, and contractor access remain with building management
• Your data may be processed by our AI provider (Anthropic) solely to generate responses — Anthropic does not retain or train on your data per their API terms

5. How We Store Your Data

• Maintenance records and ticket data are stored in Airtable, a cloud database service
• Our platform is hosted on Netlify
• We implement reasonable security measures including server-side API key management and encrypted connections (HTTPS)
• We do not store payment information — no financial transactions occur through the app

6. Who We Share Your Data With

All providers are contractually obligated to protect your data and use it only for the services they provide to us.

7. Your Rights

You have the right to access, correct, or delete your personal information. To exercise any of these rights, contact us at 360cpw@alldayflo.com. We will respond within 30 days.

8. Data Retention

• Active maintenance tickets are retained for the duration of the building management relationship
• Resolved tickets are retained for 7 years to comply with NYC building records requirements
• COI documents are retained for 3 years

9. Children's Privacy

AllDayFlo is not directed at children under 13. We do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy at alldayflo.com and updating the "Last Updated" date above.
